Members and dues

AI: Connect an AI agent and have it search and summarize the help for you.

Your member list is everyone in the club: when they joined, when they last paid, and when they run out. Members can pay their own dues by card and carry their membership card on their phone. Or skip all that and just keep the list.

For members

  • Joining: on the club's page, click Join. No button means the club adds members itself; ask them.
  • Your card: Membership on the club page shows your membership number and its barcode, when it runs out, and a button to put it in your phone's wallet. It updates itself when you renew.
  • Paying: if the club takes dues here, the same panel has a button to pay or renew by card. You're renewed when the payment goes through.
  • Club emails: the link at the bottom of any membership email picks all emails, essential ones only (membership and payment notices), or none.

The member list

Members, in the club's menu. Click a column to sort by it. The search box takes names, emails and membership numbers, and these words:

paidPaid up.
expiringRuns out soon. The people to remind.
expiredPaid once, not now. Who your renewal letter is for.
never paidOn the list, never paid. Auction participants and people who signed up end up here.
unpaidExpired or never paid.
joinedSigned up with the Join button.
duplicateProbably the same person twice. See below.
deactivatedMembers you've taken off the list.
discordLinked to your Discord server.
nonmailchimp, nonbrevoNot on your mailing list yet.

Export current view downloads whatever the list shows. Search "expired" first and you have this year's renewal letter list.

One member

Click a name to edit them.

Tip A family membership? Open the second person and pick the first in Membership carried with. They're paid up whenever that member is, and only that member renews.
Tip Want to stop somebody bidding or selling at your auctions without taking them off the list? Untick Bidding allowed or Selling allowed.

The menu at the end of each row has the rest: Permissions, Renew, Set expiration date, Membership number, Resend membership card, Merge with... and Deactivate. A deactivated member drops off the list, keeps their history, and comes back with Reactivate.

Map puts everyone with an address on a map. Handy for picking a meeting place, or a second pickup location.

AI: Ask "who is about to lapse?" or "how many members have renewed?"

Adding members

One personAdd member. Only a name is required; an email is how they get their card and reminders.

The Source column says which way each person arrived.

Importing a spreadsheet

  1. Save it as a CSV. Name the columns: Email (required), First Name, Last Name, Phone, Address, Memo, Discord ID, Contact Status, Membership Last Paid, Membership Expiration Date, Date Joined and Send Welcome Letter. Leave out any you don't have.
  2. Click Import from CSV, pick the file, and Upload CSV.
  3. Check the preview. Nothing is saved until you confirm it.
  • Somebody already on the list, by email, is updated from the file.
  • Dates can be partial: "2025" means January 1st, 2025.
  • People you import don't get the welcome letter unless their Send Welcome Letter says yes.

The same person twice

It happens: one entry from the old spreadsheet and one from signing up. A next to a name means the site thinks it's found one. Search "duplicate" to see them all. Open the menu on the one you don't want, click Merge with..., and pick the one to keep. The kept one gets anything it's missing from the other (permissions too, if you're a club admin), and the other is deactivated. It can't be undone.

AI: Ask "add Jane Doe, [email protected], as a member".

Dues

On Membership and payments, pick a Membership system and set the Membership annual fee.

Tip Want one renewal drive a year? Pick January 1st renewal. Rather not chase everyone at once? Pick Rolling annual membership.

Renewing before a membership runs out adds a year to it, so nobody loses anything by paying early.

Taking dues

  • By card: connect Square on the same page, and members pay on your club page. They're renewed when the payment goes through, and it's in the treasurer's report. See Club money.
  • Cash or check: Renew in the member's menu. It adds one membership period by your club's rules, records the dues in the treasurer's report, and sends the renewal email if you've turned it on.
  • Fixing a date: Set expiration date changes the date and records no money. For somebody who has never paid, it also sends any welcome letter held back for them.
  • At an auction: with Add membership fee to invoices for expired members in an auction's rules, a lapsed member's invoice includes the fee, and paying it renews them.
Tip Took money? Renew. Just correcting a mistake? Set expiration date. Using the wrong one either counts dues nobody paid, or loses dues somebody did.

Your own membership form, on your website or Google Forms, doesn't make someone a paid member here. Renew them by hand, or have the form do it with an API key that can renew memberships.

Automatic renewals

Turn on the expiration reminders: once you charge a fee and have a payment account connected, each one carries a button to pay.

AI: Ask "Bob paid his dues". It renews him and records the payment.

Membership cards

With Show member barcodes on, every member gets a number and a barcode. It's made by the site; you can't bring your own numbering.

  • Members find it under Membership on your club page, in their welcome and renewal emails, and in Apple Wallet or Google Wallet on their phone. The wallet card updates itself when they renew.
  • Scan it at the door to check them in, or at checkout to find their invoice. Barcodes and scanners has how.
  • Resend membership card emails it to them again.
  • A card was lost or shared? Membership number, then Reset. The old number stops working; resend the card.
  • No phone? Print it: add a row for them on Print Barcodes and click Download PDF.

Club stats charts how many members you've had over the years.

AI: Ask "resend Jane her membership card".
