Club money

AI: Connect an AI agent and have it search and summarize the help for you.

Auction sales, seller payouts, dues and sales tax are recorded here by themselves as invoices are paid. You add everything else: hall rent, a speaker's fee, a raffle. The treasurer's report adds it up for any dates you like.

Tip It's a record, not accounting software. Check it against the bank.

The treasurer's report

Treasurer's Report, in the club's menu, for anyone with Manage membership and payments. Pick a Start date and End date, and Get report:

Cash flowMoney in, money out, and how much the balance moved.
Membership and donationsHow many renewals, the dues they brought in, and donations.
AuctionsWhat buyers paid, what sellers were paid, and the club's cut: the difference.
Sales tax collectedMoney you're holding for the tax authority. It isn't the club's.
Outstanding invoicesAuction invoices nobody's settled yet. They aren't in the balance until they're paid.

Below that is every record in the date range, and the club's current balance.

What's recorded by itself

Money is recorded when it changes hands, which here means when an invoice is marked Paid:

  • A buyer's invoice: their payment, and any sales tax on it.
  • A seller's invoice, where the club owes them: their payout. So mark it paid when you mail the check, not before.
  • Dues, whether a member paid online, you clicked Renew, or it was on their auction invoice.

Unmark an invoice and its records are reversed. Nothing is ever deleted, so the report always adds up.

AI: Ask "what's our balance?"

Everything else

  • Add record: money in or out that isn't an invoice. A negative Amount is an expense. Pick a Category: Donation, Speaker costs, Meeting location cost, Refund.
  • Balance books: when you start, type what's actually in the bank, and the difference is recorded as one Balance adjustment. Needing it twice means something is going unrecorded.
  • Export CSV: the records in the date range, for QuickBooks or your accountant.
AI: Ask "put $40 in for the raffle prizes". If your accounting software has a connector, connect it too and ask "copy this month's hall rent and speaker fees from QuickBooks into the club's records", or "what's in our books that isn't in the report?"

The club's payment accounts

With a card account connected, members pay their dues on your club page and every club auction gets a pay button. It's on Membership and payments, under Setup.

  • Square, for any club: Connect a Square account for this club. Linking uses the Square account of the person clicking, so the treasurer should do it. Already connected Square for your own auctions? Use my connected Square account.
  • The first time, card payments have to be switched on for you. Click Contact us and request access.

The money goes straight into that account; this site takes nothing. Card payments has the details, Tap to Pay, and why there's no button to pay sellers.

Year to year

Club stats charts your auctions and your membership over the years. It's what to show the board when somebody asks whether the auction is worth the effort.
