Card payments
Connect a payment account and every invoice gets a pay button. People pay by card, the money goes straight to your club, and the invoice marks itself paid.
Square
Connecting it
For a club
- Open the club's Membership and payments.
- Click Connect a Square account for this club and sign in to Square.
It uses the Square account of whoever clicks, so the treasurer should do it. Dues and every club auction then use it.
For an auction with no club
- Sign in here, and click Connect your Square account at the top of this section.
- Sign in to Square.
Your auctions take payments into your own account.
Then tick Square payments in your auction's rules. It only shows once an account is connected. A club auction uses the club's account, or the account of whoever created the auction if the club hasn't connected one.
Square works in the US and Canada. You can have one Square account connected at a time. Disconnect it any time.
When people pay
Online auctions
- The pay button appears an hour after bidding ends, once late bids have finished.
- Set invoices to Ready to email everyone a link.
- Paid invoices mark themselves paid.
In person
- With the phone app and Square connected, people can tap a credit card on your phone to pay. No card reader needed.
- Checkout shows a QR code for each person.
- They scan it and pay on their own phone. It takes about ten seconds to come through.
- No QR code? The pay button is on their invoice too.
- Refunds you make in Square show on the invoice by themselves.
- Somebody paid cash instead? Mark the invoice paid yourself, and write "cash" in its Memo.
- Long lines? Several admins can run checkout at once, on different phones.
PayPal
No pay button? You can still bill everyone through PayPal after an online auction, from any PayPal account:
- On the auction's Users tab, fix up any invoices, then click Set open invoices to ready.
- Click Export, then PayPal Invoice CSV. You get a file of everyone who owes money.
- Click PayPal Batch Invoice Upload in the same menu and sign in to PayPal.
- Upload the file, check the invoices, and send them.
- PayPal doesn't tell this site who paid. Mark people paid yourself.
| If | Then |
|---|---|
| The menu says No PayPal invoices | Only Ready invoices are exported. Did you do step 1? Or has everyone paid? |
| It says the export isn't available | The auction has a pay button already. Exporting as well would bill people twice. |
| There's more than one CSV | PayPal takes 150 invoices at a time. Upload each file. |
| Somebody's missing | People the club owes money aren't billed, and neither are open or paid invoices. Pay them by check. |
| PayPal says "We had trouble reading your file" | You uploaded the Users CSV. The right file has "paypal" in its name. |
| PayPal shows "Let's get you back on track" | PayPal's batch invoicing doesn't work on some new PayPal accounts. Email [email protected] to open a case, and mention case 12959943, the same problem for another club. They take about two weeks to reply. Meanwhile, use an older PayPal account. |
Who hasn't paid?
On the Users tab, filter by Owes the club and Ready. There are filters for who has and hasn't opened their invoice, too.
Paying sellers
This site doesn't pay sellers, and it never will.
- Connecting Square lets the people running your auctions take payments, and refund ones made through an invoice. That's close to impossible to misuse.
- A payout button would let any of them send the club's money anywhere: add a user, add a lot for them, mark it sold for $1,000, pay out.
- Sellers can't take or ask for their payout here either.
Pay them from the Users CSV, under Export on the Users tab. Filter the tab by Club owes first and the file has only the people the club owes, with the amount in Invoice total due. It imports into QuickBooks, or whatever your treasurer uses.
