Clubs

AI: Connect an AI agent and have it search and summarize the help for you.

In addition to auction tools, this site offers everything you need to manage your club, from tracking dues to running a breeder award program. Use as much or as little as you like.

Tip The information in this guide is intended for people running a club. Because each club runs things differently, there isn't a guide for being a club member.

Setting up your club

  1. Click Clubs in the menu, then pick your club.
    Tip Your club isn't listed? You can get in touch to have it added.
  2. Set up the General settings.

Who can do what

Everyone who helps run the club is on the member list with their own permissions. On Members, open the menu at the end of a member's row, click Permissions, and tick what they need:

Manage membership and paymentsDues, the club's card payments, and the treasurer's report.
Manage auctionsRun the club's auctions.
Award pointsThe breeder award program.
Manage donationsAdd and email donation vendors.
Send announcementsPost to Discord, the app, email and the club page.
Edit club settingsSetup, Discord and API keys. Nearly as powerful as admin.
Club adminEverything, including giving other people permissions. Give it to as few people as you can.

So your BAP chair can approve points without touching auctions, and your membership chair can add members without seeing the money.

Club auctions

An auction belongs to the club when you pick the club in its rules. Anyone with Manage auctions can run it, and it takes payments into the club's account.

Set Manage users through club in the rules and the auction's people are your member list:

  • Members keep their club bidder number at every auction.
  • A new person at the door becomes a club member.
  • Edit somebody once, and it's changed everywhere.
  • With check-in on, nobody can bid until they've been checked in.
  • The rules can add your membership fee to the invoice of anyone whose membership has lapsed, and renew them when they pay.

Your club page lists your auctions. Make current next to one pins it: the club's menu then has shortcuts for auction day, Add user, Set lot winners, Checkin, Checkout and Print labels, and the auction snippet on your website shows it. Running an in-person auction explains each one.

Print Barcodes also prints barcodes for things you sell at the desk. Scan the T-shirt, then the person's card, and it's on their invoice. Barcodes and scanners has the rest.

After an auction, Add all users to your club on the Users tab puts everyone from it on your member list.

History and stats

  • Club history: every change to members, settings, points and announcements, and who made it. Look here first when something changed and nobody knows why.
  • Club stats: your auctions and your membership, charted over the years.

Everything else

Speakers

Some regional councils share a speaker directory: who gives talks, on what, and how far they'll travel. Each speaker has a page to send your program chair. Anyone who can see the directory can add a speaker, themselves included.
